HR & Payroll Executive, US HR and Payroll Operations

Position summary

We are looking for an HR Executive who will work with one of our US-based clients, managing day-to-day HR operations across the employee lifecycle. The work mainly includes employee onboarding and offboarding, HR documentation, payroll support, benefits administration, compliance, employee relations and HR reporting.

You will coordinate with internal teams, external vendors and the US client to ensure HR processes are completed accurately, efficiently and in compliance with US employment regulations.

What you'll do

  • Employee lifecycle management: handle onboarding, offboarding, employment documentation, employee records, transfers, change requests, warning letters, resignation acceptance letters and employment verification requests, keeping every employee file accurate, organized and compliant.
  • HR operations and administration: respond to employee emails and inquiries, prepare HR letters and notifications, follow up on pending documentation, maintain HR portals, update employee information across systems, manage job postings and complete HR projects.
  • Recruitment and onboarding support: coordinate offer letter review and sign-off, background verification through third-party vendors, collection of new hire documentation and employee orientation, ensuring a smooth onboarding experience.
  • Payroll and reporting support: prepare payroll documentation, request final settlement checks, manage payroll reports, respond to payroll inquiries, handle garnishments, generate ad hoc reports and coordinate with finance and payroll teams for timely, accurate payroll.
  • Benefits administration: manage medical enrollments and terminations, update health insurance portals, coordinate with insurance providers, process workers' compensation documentation, administer retirement programs, review benefit invoices and assist employees with benefit queries.
  • Compliance, employee relations and legal support: assist with employee investigations and complaints, labor compliance activities, government reporting, EDD claims, subpoenas, labor commission matters, W-2 distribution, insurance renewals, workplace postings, HR compliance training and coordination with legal counsel.

Required qualifications

  • 3–5 years of experience in HR operations, HR administration, payroll, benefits administration or employee lifecycle management, preferably supporting US-based organizations.
  • Bachelor's or Master's degree in Human Resources, Business Administration, Commerce or a related field (MBA HR preferred).
  • Strong experience managing employee onboarding, offboarding, HR documentation, employee records, employment verification, employee communication and HR administration.
  • Exposure to US payroll processes, employee benefits administration, health insurance enrollment, workers' compensation, retirement programs and payroll reporting.
  • Strong understanding of US employment laws and HR compliance, with working knowledge of California labor laws covering wage and hour regulations, employee classifications, leave policies and workers' compensation. Experience with compliance documentation, employee relations and government agency correspondence is preferred.
  • Experience with HRIS, payroll systems, applicant tracking systems and Microsoft Excel for HR reporting and data management; experience with platforms such as Azure or similar HR systems is an added advantage.
  • Strong written and verbal communication, with the ability to coordinate effectively with employees, managers, clients and external vendors in a US HR environment.

  • Shift timings: 8 PM–5 AM IST, to support U.S. time zones.
